AI course feedback analysis with Google Forms

Course feedback analysis takes the written comments from your end-of-course forms and groups them into themes, such as pace, venue or course materials. It counts those themes by course, trainer and venue each month, with example quotes, so patterns are visible without reading every response.

An example of how the studio would build it. No live services are connected.

From a month of feedback forms to themes you can act on.

  1. Step 01

    Forms collected

Learners complete a Google Forms survey at the end of each course, and responses land in the linked Google Sheets file.

  2. Step 02

    Details removed

Names, email addresses and phone numbers are stripped from the comments before any text is sent for analysis.

  3. Step 03

    Themes found

Gemini groups the written comments into themes, such as pace, venue or materials, and tags each comment with the themes it mentions.

  4. Step 04

    Courses compared

Themes and scores are counted by course, trainer and venue in Google Sheets, alongside the month before.

  5. Step 05

    Report reviewed

A short report with example quotes goes to the manager, who checks that the themes reflect the comments before sharing it.

The result

Feedback that leads to changes, not a forgotten spreadsheet.

Personal details are removed before analysis, and every theme links to the original comments so a person can check it. The report informs decisions about courses and trainers but never makes them.

Before we connect it.

Where this is useful

Useful for training providers, first aid and safety trainers, tutoring centres and anyone running regular courses who collects feedback but rarely has time to read it all. A sensible first version runs once a month on the forms you already use and produces a report for one person to review.

What we need to connect

  1. 01Google Forms surveys with responses saved to Google Sheets, plus the course, trainer and venue for each session.
  2. 02Google Gemini API access with data terms you are comfortable with, and an agreed list of starting themes.
  3. 03Who receives the report, how trainers will see feedback about them and how long responses are kept.

What needs careful handling

Small groups make anonymous comments easy to trace back to a person, so results for very small courses are combined or held back. The model can place a comment in the wrong theme or miss sarcasm, which is why every theme links to its original comments. Feedback about a named trainer is handled with care, so individual comments go only to the manager responsible, not into a shared report.

Questions people ask.

Why not just read the comments ourselves?

With a handful of responses, you should. Theme analysis helps once there are too many to read every month, or when you want to compare courses and spot a pattern that builds slowly.

Does it work with Typeform or other survey tools?

Yes, where the tool can export responses or send them through an API or webhook, as Typeform can. Google Forms is shown here because many training providers already use it with Google Sheets.
