Automated meeting briefs from Calendly and HubSpot

Meeting brief automation runs when someone books a call. It creates the video link, gathers what you already know about the person from your CRM and writes a short brief in a shared document, so the host starts the call prepared.

An example of how the studio would build it. No live services are connected.

Every booked call arrives with a brief.

  1. Step 01

    Call booked

Calendly reports the booking, with the invitee’s answers, the time and the event type.

  2. Step 02

    Zoom link created

Create the Zoom meeting, or use the one Calendly added, and attach the link to the booking.

  3. Step 03

    History gathered

Pull the contact’s company, deals, notes and recent emails from HubSpot.

  4. Step 04

    Brief written

Summarise the booking answers and CRM history into a one-page brief in Notion, using a fixed template.

  5. Step 05

    Brief shared

Link the brief from the calendar event and send it to the host shortly before the call.

The result

You walk in knowing who you’re talking to.

The brief uses only what is already in your CRM and the booking form, with each source linked. Reschedules update the same brief, and cancellations archive it.

Before we connect it.

Where this is useful

Useful for consultants, agencies and sales teams who take several calls a day and prepare by searching through emails and notes. A sensible first version fills a fixed Notion template with booking answers and CRM fields, before any AI-written summary is added.

What we need to connect

  1. 01Calendly booking events with event types, invitee answers, reschedules and cancellations.
  2. 02Read access to the relevant HubSpot contacts, companies, deals, notes and emails.
  3. 03A Notion database and brief template, plus the Zoom account that hosts the calls.

What needs careful handling

Invitees may book with a different email from the one in the CRM, so matching needs a fallback, such as the company domain, and a clear note when nothing matches. An AI summary should stick to what the records say and never fill gaps with guesses. Briefs contain personal information, so the Notion space needs the same access controls as the CRM.

Questions people ask.

Does the brief use AI?

It can, but it doesn’t have to. A template filled with CRM fields is a good start. An AI summary can be added later, limited to the records it is given and linking back to each source.

What happens if the call is rescheduled?

The same brief is updated with the new time, and the Zoom link stays attached to the booking. A cancellation archives the brief instead of deleting it.
