Market and craft fair trader application portal

A trader portal lets stallholders apply for pitches, upload their insurance and other documents and pay their pitch fees in one place. The organiser reviews applications, offers pitches and sees at a glance which traders are ready and what is still missing.

An example of how the studio would build it. No live services are connected.

From a pitch application to a trader ready for market day.

  1. Step 01

    Application made

A trader applies for one or more dates, describing what they sell and what they need, such as power or space for a van.

  2. Step 02

    Documents uploaded

They upload public liability insurance and, for food traders, their hygiene rating and allergen information, saved to Google Drive.

  3. Step 03

    Pitch offered

The organiser reviews applications, balances the mix of stalls and offers pitches on a plan of the site.

  4. Step 04

    Fee paid

An offered trader pays the pitch fee through Stripe, and the place is confirmed only when the payment succeeds.

  5. Step 05

    Reminders sent

Traders are reminded about expiring insurance and missing documents, and receive arrival details before the day.

The result

Every trader’s paperwork in order before market day.

Only the organiser can offer or cancel a pitch, and refunds are always handled by a person. A trader whose insurance has expired is flagged to the organiser rather than removed automatically.

Before we connect it.

Where this is useful

Useful for farmers’ markets, craft fairs, food festivals, Christmas markets and venue-run events that manage traders through email, forms and spreadsheets. A sensible first version handles applications and documents for one event, with fees still taken as they are today.

What we need to connect

  1. 01Your event dates, site layout and pitch types, with prices and what each pitch includes.
  2. 02The documents you require from each type of trader, such as public liability insurance and a food hygiene rating, and how you check them.
  3. 03A Stripe account for pitch fees, plus your cancellation and refund terms.

What needs careful handling

Insurance certificates expire between events, so expiry dates are recorded on upload and traders are reminded ahead of time. A document can be uploaded but still be wrong, such as insurance in another name, so each one is checked by a person before it is accepted. Bad weather and cancellations happen, so the organiser can cancel a date for every trader at once, with refunds or credits decided by a person.

Questions people ask.

Can regular traders book several dates at once?

Yes. Traders can apply for a run of dates, and their accepted documents carry over, so they only upload again when something expires or changes.

Do we have to take payments online?

No. Fees can be marked as paid by bank transfer or on the day, with Stripe offered as the simpler option. Taking payment online does mean a place is only confirmed once the fee has been paid.
