Client status reports from Monday.com boards

Client status automation reads each active Monday.com project at the end of the week and drafts a short update. It covers what was finished, what is waiting on the client and what comes next, and leaves the email as a draft for a person to send.

An example of how the studio would build it. No live services are connected.

From a Monday.com board to a client update ready to check.

  1. Step 01

    Week closes

At a set time each Friday, list the active client projects in Monday.com.

  2. Step 02

    Board read

Gather items completed this week, items that are stuck or waiting on the client, and what is due next.

  3. Step 03

    Update written

Fill a Google Docs template in Google Drive with progress, decisions needed and next week’s plan.

  4. Step 04

    Draft prepared

Create a Gmail draft to the client’s contacts with the update in the body and a link to the full document.

  5. Step 05

    Lead checks

The account lead edits, sends or skips the update, so nothing internal reaches the client by mistake.

The result

Clients stay informed without anyone rewriting the board.

Nothing is sent to a client automatically: each update stays a draft until a person sends it. Only items and columns marked as client-visible are included, so internal notes never appear.

Before we connect it.

Where this is useful

Useful for agencies, architects and consultancies that promise regular updates but write them from scratch each week. A sensible first version drafts internal summaries for the team, then moves to client-ready drafts once the template reads well.

What we need to connect

  1. 01Monday.com API access to the project boards, with a consistent way of marking status, owners and due dates.
  2. 02A Google Docs template in Google Drive and the wording you want for each section of the update.
  3. 03The client contacts for each project, the Gmail account the drafts are created in and which items are safe to share.

What needs careful handling

Boards are only as current as the team keeps them, so the draft notes when items haven’t been touched for a while rather than presenting old information as progress. Item names and updates can contain internal shorthand or comments about the client, so only marked columns are used and the account lead always reads the draft. A project can be paused or finished mid-week, so the project’s status is checked before each update is drafted.

Questions people ask.

Could AI write the update instead of a template?

It could summarise the board in a more natural tone, but a template is more predictable and easier to check. Many teams start with the template and add an AI-written section later, still reviewed before sending.

Can clients just look at the board?

Monday.com supports guests and shareable boards, which suit some clients. A written update suits clients who won’t log in and want the decisions and dates in one short email.
