Physio treatment plan booking with Cliniko

Treatment plan booking takes the course a practitioner recommends after an assessment and finds regular times that cover every session. The patient chooses an option, all sessions are booked together, and the front desk is told about any that drop out.

An example of how the studio would build it. No live services are connected.

From an assessment to a full course of sessions in the diary.

  1. Step 01

    Plan recorded

After the first assessment, the practitioner records the number of sessions and how often they should happen.

  2. Step 02

    Times found

Use Cliniko’s available times to find a regular slot with the same practitioner that covers the whole course.

  3. Step 03

    Options sent

Email the patient two or three regular time options, each showing the full set of dates.

  4. Step 04

    Sessions booked

When the patient picks an option, book every session in Cliniko, rechecking each slot first.

  5. Step 05

    Gaps flagged

If a session is cancelled and not rebooked, tell the front desk so they can contact the patient.

The result

Patients finish their course, and practitioners keep a steadier diary.

The practitioner sets the plan, and nothing is booked until the patient chooses. Emails contain only dates and times, never clinical details.

Before we connect it.

Where this is useful

Useful for physiotherapists, osteopaths, chiropractors and sports massage clinics where patients book one session at a time and drift away before their course is finished. A sensible first version prepares the options for the front desk to send, with automatic booking added once the clinic is happy with the choices offered.

What we need to connect

  1. 01Cliniko API access to practitioners, appointment types, available times and appointments, using a key from a user with the right permissions.
  2. 02A simple way for practitioners to record a plan, such as a number of sessions and a frequency, without writing clinical notes for the automation.
  3. 03The email wording, how many options to offer, and how far ahead the clinic is happy to book.

What needs careful handling

A practitioner’s diary may not have the same slot open every week, so options can mix nearby times and each date is shown clearly before the patient confirms. Plans often change after a few sessions, so the practitioner can shorten or extend a course and the remaining bookings follow. Health information is sensitive, so emails contain only dates and times, and the plan details stay inside Cliniko.

Questions people ask.

Isn’t booking a full course a bit pushy?

The practitioner decides the plan, and the patient chooses whether to book it and when. Patients who want to commit can settle their times in one go, and anyone who prefers to book as they go can still do that.

Doesn’t Cliniko already handle repeat appointments?

Cliniko lets staff create repeating appointments from the diary. This adds a patient-facing choice of regular times and a check for gaps, built on Cliniko’s API so the diary stays the single source of truth.
