Rota change notifications to calendars and WhatsApp

Rota change automation compares each newly published rota with the last version people were sent. It updates their calendars and messages only the people whose shifts were added, moved or removed.

An example of how the studio would build it. No live services are connected.

A changed shift reaches the right phone.

  1. Step 01

    Rota published

Deputy reports a newly published rota or an edit to shifts that were already published.

  2. Step 02

    Changes found

Compare the new rota with the last version sent and list what was added, moved or removed for each person.

  3. Step 03

    Calendars updated

Add, move or remove the matching events in each person’s Google Calendar, using a stable shift ID.

  4. Step 04

    People messaged

Send a short WhatsApp message to each affected person, listing only their own changed shifts.

  5. Step 05

    Gaps flagged

Alert the manager if a message cannot be delivered or a changed shift is left without anyone assigned.

The result

Nobody misses a changed shift.

Each person sees only their own shifts. Unchanged shifts never trigger a message, so updates stay rare enough to be read.

Before we connect it.

Where this is useful

Useful for shift-based teams in hospitality, retail and care, where rotas change at short notice and a group message is easy to miss. A sensible first version syncs shifts to personal calendars and sends one daily summary of changes before moving to instant messages.

What we need to connect

  1. 01Rota and shift events from the scheduling tool, with stable shift and employee IDs.
  2. 02Each person’s calendar and mobile number, and their agreement to receive work messages.
  3. 03The rules for which changes count, quiet hours for messages and who is alerted when delivery fails.

What needs careful handling

A manager might edit a rota several times in a few minutes, so wait briefly and send one combined update. Automated WhatsApp messages go through the WhatsApp Business Platform, which needs approved templates and each person’s consent. Phone numbers and shift patterns are personal data, so messages go to individuals, not group chats.

Questions people ask.

Will staff get a message every time the rota is saved?

No. Only published changes to someone’s own shifts trigger a message, and quick successive edits are combined into one update.

Do staff need to use Google Calendar?

No. Anyone who prefers not to can rely on the messages alone. Other calendars, such as Outlook or Apple Calendar, can be supported depending on the access options they offer.
