Salon colour record app linked to Square

A salon colour record app stores each client’s colour formulas, processing times, photos and patch test dates against their Square customer record. Before a colour appointment, the stylist sees what was done last time and whether a patch test is due.

An example of how the studio would build it. No live services are connected.

From the colour bowl to a record any stylist can follow.

  1. Step 01

    Client opened

The stylist opens the client in the app, which reads their details and upcoming appointments from Square.

  2. Step 02

    Formula recorded

They record the products, shades, developer strength, mixing ratios, processing time and any notes on how it went.

  3. Step 03

    Photos added

Before and after photos are added with the client’s permission and stored privately against the record.

  4. Step 04

    Patch test tracked

The date and result of the client’s latest patch test are recorded, and the app flags when a new one is due under your salon’s policy.

  5. Step 05

    Next visit ready

Before a colour appointment, the stylist sees the last formulas, photos and any patch test warning in one place.

The result

Any stylist can repeat the colour a client loved.

The app warns when a patch test is out of date, but whether a service goes ahead is always the stylist’s decision. Photos are only taken and kept with the client’s consent.

Before we connect it.

Where this is useful

Useful for hair salons and colour specialists where formulas live on record cards, in notebooks or in one stylist’s memory, so a different stylist can’t repeat a client’s colour. A sensible first version records formulas and patch tests on a salon tablet, before photos and phone access are added.

What we need to connect

  1. 01Access to your Square customers and appointments, so each record links to the right client.
  2. 02The colour brands, shades and developers you stock, so formulas can be picked from a list rather than typed.
  3. 03Your patch test policy, based on your product manufacturers’ instructions and your insurer’s requirements, and who may see client photos.

What needs careful handling

Product manufacturers and insurers set their own patch test requirements, so the app follows the rules your salon sets rather than a single fixed period. Clients sometimes have colour done elsewhere between visits, so the stylist can note it before the next service. Photos of clients are personal data, so they are taken only with consent, stored privately and deleted when a client asks.

Questions people ask.

Doesn’t Square already have client notes?

It does, and simple notes may be enough for some salons. A dedicated record makes formulas consistent, searchable and quick to repeat, and keeps patch test tracking and photos in the same place.

Can we use it with Fresha or another booking system?

Possibly. It depends on whether the system lets other software read client records, which varies by provider and plan. We check that first, and a version that keeps its own client list is an option if it doesn’t.
