Salon patch test reminders with Square Appointments

Salon patch test reminders check every new colour, tint or lash and brow booking against the client’s last recorded patch test. When a test is due, the client is invited to book one in time, and the stylist is warned if the appointment approaches without it.

An example of how the studio would build it. No live services are connected.

From a colour booking to a patch test done in good time.

  1. Step 01

    Booking made

Square Appointments reports a new booking for a service that needs a patch test.

  2. Step 02

    Record checked

Look up the client’s last patch test date, kept on their Square customer record, against your salon’s policy.

  3. Step 03

    Test invited

If a test is due, send a WhatsApp message explaining why, with a link to book a short patch test slot.

  4. Step 04

    Deadline watched

If no test is booked by the latest safe point before the appointment, remind the client once more.

  5. Step 05

    Stylist warned

Tell the stylist and front desk which upcoming colour appointments still have no valid patch test.

The result

Colour appointments go ahead safely, without last-minute cancellations at the chair.

The automation never cancels or moves an appointment: a person decides what happens when a test hasn’t been done. Test results are recorded by the stylist, never assumed from a booking.

Before we connect it.

Where this is useful

Useful for hair salons, barbers, and lash and brow studios whose insurer or product instructions require a patch test before certain services. A sensible first version flags bookings that need a test and sends the invitation, while staff record the test results themselves.

What we need to connect

  1. 01Square Appointments access to bookings, services and customers, including a custom field on the customer record for the last patch test date.
  2. 02Your patch test policy: which services need one, how long a test stays valid and how far ahead of the appointment it must be done, in line with your products and insurer.
  3. 03A WhatsApp Business account with approved message templates, or SMS as a fallback for clients who prefer it.

What needs careful handling

Product instructions commonly ask for a test 48 hours before colour, so the invitation goes out early enough to leave that gap, and late bookings are flagged straight to the front desk. A client who had a test that nobody recorded will look overdue, so stylists record each test on the day and the automation only reads that record. If a client reacts to a test, the stylist records the outcome and all colour reminders for that client stop until a person clears them.

Questions people ask.

Does every colour client need a test each time?

That depends on the products you use, your insurer and your own policy. The automation follows whatever rule you set, such as before every colour or when the last test is older than a set period.

Can clients book the test online?

Yes. A short patch test service in Square can be booked from the link in the message. If a client can’t come in before their appointment, the front desk is told so they can rearrange it with them.
