Staff training and certificate expiry reminders

Certificate expiry automation keeps every staff qualification in one place with its expiry date. It reminds the person and their manager in good time, collects the new evidence and escalates anything about to lapse.

An example of how the studio would build it. No live services are connected.

From an expiry date to a renewal sorted in time.

  1. Step 01

    Records checked

Each morning, find certificates in Airtable that have reached a reminder point, such as three months or one month before expiry.

  2. Step 02

    Person reminded

Email the staff member from Outlook with what is expiring, when, and how to arrange a renewal.

  3. Step 03

    Manager told

Post a summary to the manager in Microsoft Teams, including whether the team still has enough qualified people.

  4. Step 04

    Evidence collected

Ask for the new certificate to be uploaded, then hold it for a person to check before the record changes.

  5. Step 05

    Lapses escalated

Flag anything within a week of expiring, or already expired, to the manager and the owner.

The result

Nobody is caught out by an expired qualification.

A certificate only counts as renewed when a person has checked the new evidence and updated the date. Each reminder is sent once per stage, so nobody receives the same message every morning.

Before we connect it.

Where this is useful

Useful for nurseries, care providers, gyms and construction firms, where first aid, food hygiene or site cards must stay current for people to work. A sensible first version imports the existing spreadsheet into Airtable and sends a weekly summary, before adding personal reminders.

What we need to connect

  1. 01A list of staff, the certificates each role needs and the current expiry dates, often from an existing spreadsheet.
  2. 02An Airtable base the workflow can read and update, and Microsoft 365 access to send Outlook emails and Teams messages.
  3. 03The reminder points for each certificate, who arranges and pays for renewals and who checks the new evidence.

What needs careful handling

Some checks, such as DBS certificates, have no expiry date printed on them, so the renewal point follows your own policy or the DBS Update Service. Certificates and ID documents are personal data, so copies are stored with restricted access and older versions are deleted under your retention policy. A course can be booked and then cancelled, so the record only changes when a new certificate has been checked, not when a booking is made.

Questions people ask.

Can it tell us whether each shift has enough qualified staff?

It can if it also reads the rota, for example from Deputy, and you define the cover rules. A simpler first step is a weekly view of how many people hold each certificate, with upcoming expiries highlighted.

Does it book the renewal courses?

Usually not. Booking involves choosing dates and providers and paying for places, so a person makes that decision. The workflow can note the booking on the record and remind the person to upload the certificate afterwards.
