Wedding fair lead capture and follow-up

Wedding fair lead follow-up turns the details couples leave at your stand into deals in your CRM, with each wedding date already checked. It prepares a personal email for every couple, so the owner can review and send them on the evening of the fair.

An example of how the studio would build it. No live services are connected.

From a chat at your stand to a follow-up the same evening.

  1. Step 01

    Details captured

A couple fills in a short Typeform at the stand with names, contact details, wedding date, guest numbers and consent to be contacted.

  2. Step 02

    Lead created

Create a person and a deal in Pipedrive, tagged with the fair’s name so you can see which events bring enquiries.

  3. Step 03

    Date checked

Compare the wedding date with deals already won or held, and note whether it is open, held or taken.

  4. Step 04

    Follow-up drafted

Prepare a Gmail draft that mentions their date, what you talked about and a link to your brochure or viewing times.

  5. Step 05

    Approved and sent

The owner reviews the evening’s drafts in one go, edits any that need a personal touch and sends them.

The result

Couples hear from you while they still remember your stand.

Nothing is sent without approval, and only couples who ticked the consent box get a follow-up. Each submission is matched by email address, so a couple who signs up twice gets one deal and one email.

Before we connect it.

Where this is useful

Useful for wedding venues, photographers, florists, caterers and bands who come home from a fair with a pile of enquiries and spend the following week typing them up. A sensible first version captures leads into the CRM and prepares drafts, with every email sent by a person.

What we need to connect

  1. 01A Typeform designed for a tablet at the stand, with a clear consent question for follow-up contact.
  2. 02Pipedrive access to create people and deals, with custom fields for wedding date, guest numbers and the fair each couple came from.
  3. 03Your follow-up wording, brochure or viewing link, and a reliable record of which dates are already booked or held.

What needs careful handling

Fair venues often have poor Wi-Fi, so the tablet needs a mobile hotspot or a paper backup that someone enters later. Couples sometimes give a season rather than a date, so the deal is created with the date left open and the email asks them to confirm it. If the date is already taken, the draft says so kindly and suggests nearby dates, and the owner can change it before sending.

Questions people ask.

Can I send the emails automatically instead of approving them?

You can once the wording has proved itself, but an approval step is worth keeping at first. Fair conversations vary, and a quick read lets you add the detail that makes a couple remember you.

What about couples who don’t tick the consent box?

They are still recorded so you know they visited, but no email is prepared for them. If they asked for something specific at the stand, a person can decide how best to reply.
