Workshop booking automation with Eventbrite

Workshop booking automation takes each Eventbrite order and adds the attendee to a class list with their needs and answers. It keeps a running count of materials, sends joining details before the day and gives the host a final list.

From a ticket sale to a workshop that is ready to run.

  1. Step 01

    Ticket booked

Eventbrite reports a new order with the attendee’s name, ticket type and answers to your checkout questions.

  2. Step 02

    Class list updated

Add the attendee to the workshop in Airtable with dietary needs, access requests and any experience level they gave.

  3. Step 03

    Materials counted

Recalculate the materials to prepare from the number of places taken, such as clay, stems or ingredients per person.

  4. Step 04

    Details sent

A few days before, email joining instructions with parking, what to wear and what is provided.

  5. Step 05

    Host briefed

The day before, give the host a printable class list with needs highlighted and the final materials count.

The result

Every workshop starts with the right materials and no surprises at the door.

Cancellations update the class list but never trigger a refund on their own: Eventbrite and your team handle those. Each Eventbrite order is recorded once by its ID.

Before we connect it.

Where this is useful

Useful for pottery studios, florists, cookery schools, craft makers and venues that run small paid workshops and prepare materials by hand from a pile of emails. A sensible first version builds the class list and materials count, with joining emails sent from a template once the details are settled.

What we need to connect

  1. 01Eventbrite access to your events, orders and attendees, including the custom questions asked at checkout.
  2. 02An Airtable base with your workshops, the materials each place needs and who hosts each session.
  3. 03Joining instructions for each venue, the timing for the reminder email and the address it should come from.

What needs careful handling

People sometimes book for a friend and give only their own details, so the checkout asks for each attendee’s name and needs where Eventbrite allows it. Late bookings can arrive after the materials have been prepared, so anything booked after your cut-off is flagged to the host straight away. Transfers and cancellations change the count, so the class list is rebuilt from Eventbrite’s current attendee list rather than added to forever.

Questions people ask.

Why not just use Eventbrite’s own emails?

Eventbrite sends order confirmations and lets you schedule emails to attendees, which may be enough on their own. This adds what Eventbrite doesn’t do for you: materials counts, a host briefing and a class list alongside your other workshops.

Does it work for workshops booked on our own website?

Yes, if your website’s booking tool sends a notification or offers an API. The class list and materials count work the same way whichever tool takes the booking.
