Zendesk order status replies from Shopify and DHL

Order status automation spots Zendesk tickets that ask about an order and finds the matching Shopify order. It adds the dispatch date and latest tracking to the ticket as an internal note and prepares a reply that an agent checks before sending.

An example of how the studio would build it. No live services are connected.

From “where’s my order?” to a checked, factual reply.

  1. Step 01

    Question arrives

A new Zendesk ticket mentions an order, a delivery or tracking, or contains something that looks like one of your order numbers.

  2. Step 02

    Order found

Look up Shopify orders for the requester’s email address, or the order number they quoted, and pick out the one being asked about.

  3. Step 03

    Tracking checked

Read the fulfilment status and tracking number from Shopify, then the latest scan from DHL where tracking access allows it.

  4. Step 04

    Facts added

Post an internal note with the order date, items, dispatch date and latest tracking event, visible only to your team.

  5. Step 05

    Draft prepared

Prepare a reply from your approved wording for that delivery status, which an agent checks, edits and sends.

The result

Agents answer the most common question without hunting across tabs.

Order details are only added when the requester’s email matches the order, or an agent confirms the match. Nothing reaches the customer until an agent chooses to send it.

Before we connect it.

Where this is useful

Useful for online shops where delivery questions fill much of the inbox, especially around Christmas and sale periods. A sensible first version only adds the order facts as a note, then introduces reply drafts once the matching has proved reliable.

What we need to connect

  1. 01Zendesk access to read new tickets and add internal notes, through an API token or an integration user.
  2. 02Read access to Shopify orders and fulfilments, including tracking numbers and the courier each parcel was sent with.
  3. 03Tracking access for each courier you use, such as DHL’s shipment tracking API, plus approved reply wording for each delivery status.

What needs careful handling

Customers often write from a different email address to the one used at checkout, so when nothing matches, the note asks the agent to confirm the order rather than guessing. Orders can be split across several parcels or couriers, and each parcel’s tracking is shown separately. If tracking shows a parcel as delivered but the customer says it hasn’t arrived, no draft is prepared, because that case needs a person’s judgement and your lost parcel policy.

Questions people ask.

Doesn’t Zendesk already show Shopify orders?

Zendesk’s Shopify integration can show a customer’s orders beside the ticket, and for some teams that is enough. This adds the courier’s latest tracking, picks out the order being asked about and prepares a reply in your wording. We check whether the built-in app covers your needs first.

Can it reply to customers automatically?

Not in this design. Delivery questions often hide a complaint or a lost parcel, so an agent reads each draft and decides what to send. Once the drafts prove reliable, you might choose to send routine updates with a single click.
