AI property listing descriptions for estate agents

This automation drafts a property description and key features from the notes, measurements and photos an agent records at a valuation. It flags missing material information and any wording the notes don’t support, and the agent approves the final text before it is used.

An example of how the studio would build it. No live services are connected.

From valuation notes to a listing the agent has checked.

  1. Step 01

    Notes uploaded

The agent saves valuation notes, room measurements and photos to the property’s Google Drive folder from their phone.

  2. Step 02

    Draft written

OpenAI drafts a description and a list of key features in your house style, using only what the notes and measurements state.

  3. Step 03

    Gaps flagged

The draft is checked for missing material information, such as tenure, council tax band or EPC rating, and for any claim not found in the notes.

  4. Step 04

    Agent checks

The agent reviews the draft beside the notes, corrects anything wrong and confirms the material information with the seller.

  5. Step 05

    Listing saved

The approved text is saved against the property in your CRM or database, ready for the portals and your website.

The result

Listings written sooner, using only the facts you recorded.

The draft may only use facts from the agent’s notes, and anything it can’t support is flagged rather than written. No listing goes live without the agent’s approval.

Before we connect it.

Where this is useful

Useful for independent estate and letting agents whose valuers spend evenings writing listings, or whose descriptions vary in quality from one branch to the next. A sensible first version drafts descriptions for new instructions in one branch, with the agent editing every draft, before you decide whether to use it more widely.

What we need to connect

  1. 01A consistent way of recording valuation notes and measurements, such as a short form or a template saved to Google Drive.
  2. 02OpenAI API access and access to your CRM or property database through its API, or a place to save approved text for your team to copy.
  3. 03Your house style, the words you never use and the material information fields your team must complete for every listing.

What needs careful handling

AI models tend to add appealing details that weren’t in the notes, such as “recently renovated”, so each feature in the draft is checked against the notes and anything unsupported is flagged. Material information like tenure, lease length, service charges and flood risk must come from the seller or their documents, never from the draft, so missing items stay visibly blank. Notes can include sensitive details about the seller’s circumstances, such as a divorce or probate, so those fields are kept out of the text sent for drafting.

Questions people ask.

Who is responsible if a description is wrong?

Your agency is, just as it is today, which is why the agent approves every word. The design reduces the risk by drafting only from recorded notes and flagging anything it can’t support, but it doesn’t replace the agent’s check.

Will it work with our property software?

Often, yes. Many estate agency systems offer an API or an import, and where they don’t, the approved text is saved somewhere your team can copy it from. We check what your system allows before building anything.
