BambooHR time off to Google Calendar and Slack

Time-off sync automation copies each approved BambooHR request to a shared team calendar and the person’s Slack status. It also checks cover for the team and reminds the person to hand over their work before they go.

An example of how the studio would build it. No live services are connected.

From approved leave to a team that knows who’s away.

  1. Step 01

    Leave approved

A regular check of BambooHR’s time-off data finds a newly approved request.

  2. Step 02

    Calendar updated

Add an all-day ‘Away’ event to the shared team calendar, without the type of leave or any reason.

  3. Step 03

    Status scheduled

Set the person’s Slack status for those days, if they have agreed to let the workflow update it.

  4. Step 04

    Cover checked

Compare the dates with others in the same team and flag any day that drops below the agreed minimum.

  5. Step 05

    Handover reminded

A few days before the leave starts, remind the person to pass on open work and set an out-of-office reply.

The result

Everyone knows who is off without asking around.

Each request is synced once using its BambooHR ID, and a cancelled or edited request updates or removes what was created. Only ‘Away’ is shared, never whether it is holiday, sickness or another kind of leave.

Before we connect it.

Where this is useful

Useful for offices, clinics and agencies where people ask around or scroll a spreadsheet to find out who is in. A sensible first version adds approved leave to one shared calendar, then adds Slack statuses and cover checks once the team is happy with it.

What we need to connect

  1. 01BambooHR API access to approved time-off requests, employees and the teams they belong to.
  2. 02A shared Google Calendar the workflow can write to, and Slack access for the people who agree to automatic statuses.
  3. 03The minimum cover for each team, how far ahead to send handover reminders and who hears about clashes.

What needs careful handling

Sickness and some other types of leave are sensitive personal data, so the calendar and Slack only ever show that someone is away. Requests are edited, cancelled or approved after the event, so each one is tracked by its ID and the calendar is corrected rather than duplicated. Part days and different working patterns need care, so cover checks use each person’s working days rather than assuming a standard week.

Questions people ask.

Doesn’t BambooHR already have a who’s out calendar?

Yes. BambooHR shows who is out and can share a calendar feed, which may be all you need. A custom flow helps when you also want Slack statuses, cover warnings and handover reminders in one place.

Can it set an out-of-office reply in Gmail?

It can, where your Google Workspace admin allows an automation to manage mail settings for staff. Many teams prefer people to write their own, so the reminder includes a suggested wording instead.
