Lost deal re-engagement in Salesforce

Lost deal re-engagement schedules a revisit date for opportunities lost because of budget, timing or an existing contract. When the date arrives, it reminds the owner with the full history and prepares a short check-in email for them to send.

An example of how the studio would build it. No live services are connected.

From a lost deal to a well-timed second conversation.

  1. Step 01

    Loss recorded

When an opportunity is closed as lost in Salesforce, read the loss reason the salesperson selected.

  2. Step 02

    Revisit scheduled

For reasons such as budget, timing or an existing contract, set a revisit date from your agreed rules or the date the buyer gave.

  3. Step 03

    Date reached

On the revisit date, check the account for new opportunities, open cases or recent contact before doing anything.

  4. Step 04

    Email drafted

Create a short draft in Outlook that refers back to the original proposal and asks whether anything has changed.

  5. Step 05

    Owner reminded

Post a Slack message to the owner with the account history, the draft and a link to reopen the opportunity.

The result

Work that was nearly yours comes back round at the right moment.

Nothing is sent to the customer automatically: the owner reviews and sends every check-in. Accounts marked do-not-contact, and deals the owner chose not to revisit, are never scheduled.

Before we connect it.

Where this is useful

Useful for agencies, IT support firms, commercial cleaners, software resellers and other business-to-business services whose buyers often say not yet rather than no. A sensible first version sets the revisit dates and sends the reminder, with the owner writing the email themselves.

What we need to connect

  1. 01Salesforce access to opportunities, accounts and activities, with loss reasons that separate timing and budget from a firm no.
  2. 02Rules for how long to wait after each loss reason, and a field for a specific date when the buyer gave one, such as a contract end date.
  3. 03Outlook and Slack access for each owner, and a decision on who takes over reminders when the original owner has left.

What needs careful handling

Loss reasons are only useful if people pick them carefully, so the first step is often trimming the options to a handful that mean something. The account may have moved on since, so the check on the revisit date looks for new opportunities, open cases and recent emails, and skips the reminder if someone is already talking to them. When the original owner has left the business, the reminder goes to whoever now owns the account rather than being lost.

Questions people ask.

Will this email prospects automatically?

No. It drafts the email and reminds the owner, who decides whether and how to get in touch. That keeps the tone personal and avoids contacting someone who has asked not to hear from you.

Does it work with CRMs other than Salesforce?

Yes, where the CRM records a loss reason and lets reminders or tasks be created through its API. HubSpot, Pipedrive and Zoho CRM can all support a similar flow.
