Automatic monthly newsletter drafts in Brevo

Newsletter draft automation collects what your business published and planned over the month and lays it out in your Brevo template. The result is a draft campaign that a person edits, tests and schedules, so the newsletter goes out without starting from a blank page.

An example of how the studio would build it. No live services are connected.

From a month of activity to a newsletter draft ready to edit.

  1. Step 01

    Issue due

A week before your chosen send date, the gathering starts, so there’s time to edit.

  2. Step 02

    News gathered

Collect posts published on WordPress since the last issue, upcoming events from Eventbrite and recent posts from your Instagram account.

  3. Step 03

    Draft assembled

Lay them out in your Brevo template with short introductions, links and images, and suggest a few subject lines.

  4. Step 04

    Person edits

Tell the editor the draft is ready, so they can add a personal note, cut items and check every date.

  5. Step 05

    Issue scheduled

The editor sends a test, then schedules the campaign in Brevo to contacts who agreed to receive it.

The result

The newsletter goes out every month, because the hard part is already done.

The campaign is created as a draft and never sent automatically. Only a person can schedule it, and it only goes to contacts with marketing consent.

Before we connect it.

Where this is useful

Useful for cafés, charities, community venues, galleries and small shops that mean to send a monthly newsletter but often skip it. A sensible first version gathers blog posts and events into a simple layout, then adds photos and suggested subject lines once the format settles.

What we need to connect

  1. 01Read access to your WordPress posts, your Eventbrite events and your Instagram professional account’s recent posts.
  2. 02A Brevo account with a newsletter template, API access to create draft campaigns and a list of contacts with marketing consent.
  3. 03Your send date, the sections you want in each issue and the person who edits and approves it.

What needs careful handling

Some months are quiet, so the draft says when a section has nothing new rather than padding it out. Instagram photos may show customers or staff, so only images from your own account are used and the editor checks each one before sending. Events can sell out or move between drafting and sending, so the editor is shown any event changes made since the draft was built.

Questions people ask.

Will the newsletter sound automated?

Not if the editor adds a short personal opening, which readers tend to value most. The draft takes care of gathering and layout, so the editor’s time goes on the writing. Introductions can be drafted from your posts, or left blank for you to fill in.

Can it use Mailchimp instead of Brevo?

Yes. Mailchimp also lets you create draft campaigns through its API, so the same approach works. We would use whichever tool already holds your list.
