Staff room screen with Deputy rota and Slack notices

Staff room signage automation shows today’s rota from Deputy and announcements from a Slack channel on a screen in a staff-only area. It updates itself as shifts change and removes notices once they are out of date.

An example of how the studio would build it. No live services are connected.

From the rota and team news to one screen in the staff room.

  1. Step 01

    Rota read

Read today’s published shifts from Deputy, with first names, times and areas only.

  2. Step 02

    Notices gathered

Collect announcements posted in a dedicated Slack channel, along with how long each one should stay up.

  3. Step 03

    Content checked

Leave out anything marked as private and drop announcements once their date has passed.

  4. Step 04

    Screen updated

Show the layout on the Yodeck screen as a web page that refreshes on a short schedule.

  5. Step 05

    Changes followed

When a shift changes or a notice is removed, the screen catches up at its next refresh.

The result

Everyone sees the day’s plan without checking their phone.

The screen only shows what has been published in Deputy or posted in the announcement channel, and never absence reasons, pay or contact details. If either source can’t be reached, the screen keeps the last good version with a note of when it was updated.

Before we connect it.

Where this is useful

Useful for restaurants, hotels, shops, gyms and warehouses where teams start shifts at different times and not everyone checks their phone. A sensible first version shows today’s shifts and a handful of notices on one screen, then adds things like training dates or the week’s priorities.

What we need to connect

  1. 01Deputy API access to published rosters for the location, plus the areas or roles you want shown.
  2. 02A Slack channel for announcements and a simple convention for how long each notice should stay up.
  3. 03A Yodeck player and screen in a staff-only area, and agreement on what information is suitable to display.

What needs careful handling

Even first names and shift times are personal data, so the screen sits where customers can’t see it and anyone can ask to be left off. Announcements are sometimes posted by mistake, so only messages from named people are shown, and deleting a message removes it from the screen. Wi-Fi in back rooms can be patchy, so the player keeps showing the last version it received, with the time it was updated, rather than going blank.

Questions people ask.

Can it show next week’s rota too?

Yes, though a long rota is hard to read on a screen. A shorter view of today and tomorrow is usually easier to take in, with the full rota left to the Deputy app.

Do we need Yodeck, or will any TV do?

Any screen can show a web page through a small player such as a Raspberry Pi. Yodeck adds remote management, scheduling and offline playback, which helps when you have screens at several sites.
