SumUp daily takings and cash-up to Xero

Daily takings automation brings together the card sales taken through SumUp and the cash counted at close for each trading day. It drafts one daily sales entry in Xero with card, cash and tips split out, and reports any cash difference instead of hiding it.

An example of how the studio would build it. No live services are connected.

From closing the till to a daily sales entry in Xero.

  1. Step 01

    Till closed

The closing shift submits a short Google Form with the counted cash, the float, the till report figure and any notes.

  2. Step 02

    Card sales gathered

Read the day’s SumUp transactions, including tips and refunds, through the SumUp API.

  3. Step 03

    Totals compared

Compare the counted cash with the till report and flag any difference above the limit you set.

  4. Step 04

    Summary drafted

Create a draft daily sales invoice in Xero, split into card, cash and tips with the agreed account codes and VAT rates.

  5. Step 05

    Owner checks

Send the owner the summary and any cash difference, and they approve the draft in Xero.

The result

Takings reach the books the same evening, with any cash difference in plain sight.

Each trading day creates one draft in Xero, keyed to the date and site, so a second run cannot double the sales. Cash differences are reported and never adjusted away.

Before we connect it.

Where this is useful

Useful for cafés, bars and bakeries where someone adds up the card reader totals and the cash drawer by hand, then types them into the books days later. A sensible first version covers one site and one till, with the owner approving each draft in Xero before it is posted.

What we need to connect

  1. 01API access to the SumUp account, so each day’s card transactions, refunds and tips can be read.
  2. 02A short Google Form for the closing shift, covering counted cash, the float, the till report figure and notes.
  3. 03Xero access to create draft sales invoices, with the account codes, VAT rates and tips treatment agreed with your accountant.

What needs careful handling

Trading days that run past midnight need a clear cut-off, so late sales land on the right day. Refunds made on a later day belong to that later day, and SumUp payouts can cover several days at once, so payouts are matched to the bank separately from the daily entries. A missing cash-up form holds the day open and sends a reminder, rather than guessing the cash figure.

Questions people ask.

Doesn’t SumUp already connect to accounting software?

SumUp offers some accounting connections, depending on the products you use, and they may be enough. A custom flow helps when you also need the cash count, more than one till or a particular way of recording tips. We check the built-in options first.

What happens if the cash is short?

The difference is reported to the owner alongside the shift’s notes, and the entry records the cash actually counted. Nothing is adjusted to make the figures agree, so patterns over time are easy to spot.
