WooCommerce returns with Royal Mail labels

Returns automation lets customers start a return online, checks the request against your returns policy and sends a returns label for eligible items. When the parcel arrives, a person checks it in and approves the refund, which is then issued through WooCommerce to the original payment method.

An example of how the studio would build it. No live services are connected.

From a return request to a refund approved by a person.

  1. Step 01

    Return requested

The customer enters their order number, email, items and reason on a returns form on your WooCommerce site.

  2. Step 02

    Eligibility checked

Check the order in WooCommerce against the returns window, excluded items such as personalised goods and any earlier returns.

  3. Step 03

    Label sent

Send a Royal Mail returns label where your account supports returns, or your returns address and instructions.

  4. Step 04

    Item checked in

When the parcel arrives, a person records its condition, and the details are posted to Slack.

  5. Step 05

    Refund approved

After approval, issue the refund through WooCommerce to the original payment method and email the customer.

The result

Returns that follow your policy, with a person approving every refund.

Refunds are never issued on a request alone: a person confirms the item has arrived and approves each one. Each order line can only be refunded once, and never for more than was paid.

Before we connect it.

Where this is useful

Useful for clothing, homeware and gift shops that handle returns by email and keep track of them in an inbox or spreadsheet. A sensible first version handles straightforward returns within the window, and sends exchanges, faulty items and anything unusual to a person.

What we need to connect

  1. 01WooCommerce REST API access to orders and refunds, with a payment gateway that supports refunds through the API.
  2. 02A Royal Mail business account set up for returns labels, or a returns address and instructions for customers who post their own.
  3. 03Your returns policy, any excluded items, the Slack channel for check-ins and who approves refunds.

What needs careful handling

UK consumer rules give buyers a right to cancel most online orders, with exceptions such as personalised goods, so eligibility follows both your policy and the law rather than a single window. Faulty items are treated differently from change-of-mind returns, so they always go to a person. A returned parcel may hold the wrong item or arrive damaged, which is why the refund waits for a person to check it in rather than for tracking to show delivery.

Questions people ask.

Does WooCommerce have returns built in?

WooCommerce handles refunds, but a full returns process with requests and labels usually needs an extension or a custom flow. An extension may be enough, and a custom flow suits shops that want the steps shaped around their own policy and team.

Can refunds go out automatically once tracking shows delivery?

They could, but tracking only shows that a parcel arrived, not what was inside it. A quick check by a person protects against empty or wrong returns and keeps someone in control of money leaving the business.
